Privacy Policy

Note for the site owner: this page is a starting template that came with the software, not legal advice. It describes how this software handles data, but it does not know your country, your organisation or your obligations. Have it reviewed, edit it to match what you actually do, and then delete this paragraph.

This policy explains what Riverside Alumni collects, why, and what you can ask us to do about it.

Who we are

Riverside Alumni operates this website and the members area on it. For questions about anything on this page, write to [the association's contact email address].

What we collect

When you register: your name, email address, the year you left, and anything else you choose to add to your profile. You decide what goes in your profile and you can change or remove it whenever you like.

When you have an account: your password, stored only as a one-way cryptographic hash, which means we cannot read it. If you turn on two-factor authentication we store the secret needed to check your codes.

When you use the site: the pages you visit, the emails we send you and whether you opened them, and the IP address a request came from. This is kept to run the site, to keep it secure, and to see which parts are worth improving.

When you contact us: whatever you put in the message, so we can answer it.

Why we are allowed to hold it

We hold your membership record because you asked to join and because we have a genuine interest in maintaining a trustworthy register of members. We send you association updates because you consented, and you can withdraw that consent at any time without losing your membership.

Who can see it

Your profile is visible to other verified members in the directory, and you control which fields appear there. Nothing is sold, and nothing is shared with advertisers. We use a small number of suppliers to run the site - web hosting, email delivery, and optionally website analytics - and they only ever act on our instructions.

How long we keep it

Membership records are kept for as long as you are a member. Ask us to close your account and we remove your personal details, keeping only what we must to show that a membership once existed. Message logs and analytics are kept for a limited period and then deleted.

Your rights

You can ask us for a copy of your data, ask us to correct it, ask us to delete it, or object to how we use it. Members can download their own data at any time from the members area, without asking anyone. Write to [the association's contact email address] and we will reply.

Cookies

The site sets only the cookies it needs to work: one keeps you signed in (and a longer-lasting one if you tick "Keep me signed in"), one protects its forms against forgery, and one remembers your answer to the cookie banner. Analytics cookies are only set if you accept them, and declining changes nothing about how the site works for you.

Changes

If this policy changes in a way that matters, we will say so on this page and, where the change is significant, tell members directly.
